Mandatory contact registers at community venues
From Saturday, 5 December 2020, the WA Government requires community venues (and other particular venues and businesses) to maintain a mandatory contact register for anyone aged 16 years or over who attends the venue. This is to assist the Department of Health with COVID-19 contact tracing if it’s needed.
What do playgroups need to do?
For those playgroups who share a building, run by your local school, local government or another facility provider, the manager of this facility may coordinate this register to include your playgroup families. If this is the case, playgroup families will need to register their attendance on arrival at the venue, following the relevant procedure at that facility. Playgroup leaders should talk to your facility manager to find out what is required, or if your venue is exempt.
If your playgroup leases your building and/or has control of it during your sessions, then your playgroup will be responsible for maintaining this contact register. If you’re in any doubt, please check with your venue owner. It involves collecting the date, name, telephone number and arrival time of all people aged 16 years and over who attend the playgroup venue. The register must be kept for 28 days and not be used for any other purpose.
To assist, the WA Government has developed the free, SafeWA app. This is an online contact register system that uses QR Codes for patrons and staff to scan to register their attendance. Data will be encrypted at the point of capture, stored securely and only be accessible by authorised Department of Health contact tracing personnel, should COVID-19 contact tracing be necessary. SafeWA can be downloaded from the Apple App Store or Google Play. This is a free, easy, contactless solution, but it is not mandatory to use this app. Alternatives to the app include other electronic tools or a paper-based system. For anyone who chooses not to use the app, a written contact register must be available for these individuals. Can my playgroup use our existing register of playgroup attendance?
No. The WA Government has directed that this new mandatory register must be kept for 28 days and must not be used for any other purpose. As such, it is advised that you keep your usual attendance records separate to this register which is only for the Department of Health if they need it.
The information collected differs in each register and the usual playgroup attendance register must be kept for insurance purposes.
